The information we collect

When you become a patient, we collect:

  • your contact details, such as your name, address, date of birth, telephone number and email address
  • information about your health, including your medical history, medications, the reason for your visit, and the notes, measurements, photographs and video recordings made during your assessment and treatment
  • details of your GP or other healthcare professionals involved in your care, where you give them to us
  • if you are claiming through health insurance, your insurer, membership number and authorisation code
  • records of your appointments, payments and any correspondence with us

When you use this website, we collect the information you choose to give us, for example when you book online or email us. We also use cookies, which are explained below.

How we use your information

  • to assess, diagnose and treat you, and to keep accurate clinical records
  • to book and manage your appointments, and to send you confirmations and reminders
  • to contact your GP or other healthcare professionals when this is needed for your care
  • to take payments and to process claims with your health insurer
  • to respond to your enquiries, feedback and complaints
  • to meet our legal and professional obligations, including those set by the Health and Care Professions Council (HCPC)

We will never sell your information, and we will only send you marketing messages if you have asked to receive them.

Our lawful basis for using your information

Data protection law requires us to have a lawful basis for each way we use your information.

  • Providing your care: using your information is necessary to provide the treatment you have asked for, and for our legitimate interest in running a safe and effective clinic.
  • Your health information: health information is a special category of personal data, so we also rely on the condition for providing health care by a health professional who is bound by a duty of confidentiality (UK GDPR Article 9(2)(h)).
  • Keeping records: we have a legal obligation to keep accurate records and to meet the requirements of our regulator.
  • Cookies that are not essential: your consent, which you can withdraw at any time.

Who we share your information with

We only share your information when we need to, and only with:

  • Cliniko, our practice management and online booking system, which stores your records securely in the United Kingdom
  • WP Engine, which hosts this website
  • Google, which provides our business email service (Google Workspace)
  • Clover, which processes card payments
  • your GP or other healthcare professionals, when this is needed for your care
  • your health insurer, if you are claiming through insurance
  • our accountants, professional advisers and indemnity insurer, where this is necessary
  • regulators such as the HCPC, or others where the law requires us to

Companies that handle information on our behalf do so under contract and only on our instructions.

Information outside the UK

Our patient records are stored in the United Kingdom. Cliniko is provided by Red Guava, a company based in Australia, so some access to records may take place from outside the UK, for example when providing support. Some website services, such as Google, may also process limited information outside the UK. Where this happens, it is protected by safeguards approved under UK data protection law, such as the UK International Data Transfer Addendum.

How long we keep your information

We keep adult clinical records for at least 7 years after your last treatment, and children's records until their 25th birthday. Records are not deleted automatically when this period ends, but you can ask us to delete yours once it has passed.

Keeping your information secure

We keep your records on secure systems, with access limited to the people who need it to provide your care. Everyone who works with us is bound by a duty of confidentiality.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information, although we may need to keep clinical records for the period above
  • ask us to restrict how we use your information, or object to how we use it
  • ask for your information in a format you can take to another provider
  • withdraw your consent at any time, where we rely on it

To use any of these rights, please contact us using the details above. We will reply within one month, and there is normally no charge.
